A live release on a digital service provider (DSP) does not complete a Malaysian master-royalty claim.<\/a> In Vietnam, a distributor statement does not replace a songwriter\u2019s work record.<\/a> For an independent rightsholder, the practical consequence is that release delivery and royalty collection need separate checks.<\/p>\n

Match the record to the right<\/h2>\n

A recording and the song embodied in it create different registration jobs. Malaysian recording royalties require a written mandate and registration of eligible recordings in the Music Recording Database.<\/a> Vietnamese songwriter royalties require a work record, with writers and their splits declared.<\/a> A label reviewing the master should therefore ask a different question from a songwriter reviewing the composition: is the relevant claim recorded in the relevant place?<\/p>\n

That distinction changes how a catalogue audit starts. A release entry can show that music is available on a DSP, but availability alone does not meet Malaysia\u2019s requirements for eligible master claims.<\/a> A distributor statement can show what the distributor has accounted for, but Vietnam\u2019s songwriter process also calls for a work record and quarterly royalty reconciliation.<\/a> Neither document should be treated as a complete inventory of every right attached to the music.<\/p>\n

Start with two records for each release under review: one for the recording claim and one for the songwriter claim. The first should let the label check the mandate and recording registration needed for Malaysian master royalties<\/a>. The second should let the writers check the work registration and declared splits needed for Vietnamese songwriter royalties<\/a>. Keeping the checks distinct makes an omission easier to locate.<\/p>\n

Make authority visible<\/h2>\n

Malaysia\u2019s master-claim process requires a written mandate.<\/a> That requirement makes authority a paperwork question, not merely a question of who uploaded the release. Before reviewing an unmatched play, a label can check whether the mandate needed for its claim is in place, then check whether the eligible recording has been entered in the Music Recording Database. The two checks answer different questions: whether the claim has the required authority and whether the recording has the required registration.<\/p>\n

The songwriter record needs its own authority check. Vietnam\u2019s registration process calls for writers and splits to be declared and for time-limited exclusivity to be flagged.<\/a> A self-releasing artist should review those details when the work record is made and again when the relevant period changes. A correct recording entry cannot settle which writers are declared on a work, just as a work record cannot supply the written mandate required for a Malaysian master claim.<\/p>\n

For a small catalogue, the useful control is a short claim register that names the right being checked and the document that supports it. Record the Malaysian master mandate and Music Recording Database entry<\/a> separately from the Vietnamese work record, writer splits and any time-limited exclusivity<\/a>. That gives the person reviewing a statement a specific record to verify instead of relying on the fact that the release went live.<\/p>\n

Reconcile against the claim<\/h2>\n

Registration is the beginning of the payment check, not the end. The Malaysian master checklist is intended to catch unmatched plays before a payout.<\/a> A label can use that timing to review eligible recordings and their claim details while a mismatch can still be identified ahead of payment. The question is concrete: does the recording whose use is being reviewed have both the required mandate and the required database entry?<\/p>\n

Vietnam\u2019s songwriter process calls for quarterly royalty reports to be reconciled alongside the distributor statement.<\/a> A self-releasing artist can compare the quarter\u2019s songwriter report with the registered work and its declared writers and splits. That comparison has a defined purpose: to spot composition income that is missing from the review. The distributor statement remains useful, but it answers a different accounting question from the work record and songwriter report.<\/p>\n
